1. Acceptance of Terms

By using this website, making a booking, or engaging with our services in any way, you acknowledge that you have read, understood, and agree to be bound by these Terms of Service, along with our Privacy Policy and Refund & Cancellation Policy. If you do not agree with any part of these terms, please do not use our website or services.

2. Definitions

“We”, “Us”, “Our” — refers to YuanhangTrip
“You”, “Your”, “Client”, “Traveler” — refers to the person making a booking or using our services.
“Website” — refers to our official website and all associated pages.
“Services” — refers to all travel-related products, tours, packages, bookings, and assistance we provide.
“Supplier”, “Third-Party Provider” — refers to airlines, hotels, tour operators, transportation companies, and other service providers we work with.

3. Booking & Payment

3.1 Booking Process

All bookings are subject to availability and confirmation. A booking is not confirmed until you receive a written confirmation from us via email. You are responsible for providing accurate and complete information during the booking process, including full legal names as shown on travel documents, dates of birth, passport details, and any special requirements.

3.2 Pricing

All prices displayed on our website are in USD unless otherwise stated. Prices are subject to change without prior notice until a booking is confirmed. Prices may vary based on availability, seasonality, group size, and supplier adjustments. We reserve the right to correct any pricing errors on our website at any time.

3.3 Payment Terms

A deposit may be required at the time of booking to secure your reservation. The remaining balance must be paid by the deadline specified in your booking confirmation. Accepted payment methods will be displayed at checkout. Failure to pay the remaining balance by the deadline may result in automatic cancellation of your booking.

3.4 Taxes & Fees

Unless explicitly stated, prices do not include applicable taxes, government fees, visa fees, airport surcharges, or local city taxes. You are responsible for any additional fees imposed by third-party suppliers or local authorities.

4. Travel Documents & Requirements

4.1 Passports

You are responsible for ensuring that your passport is valid for at least six (6) months beyond your intended date of return. We are not responsible for any losses or expenses arising from an invalid or expired passport.

4.2 Visas

It is your responsibility to obtain all necessary visas, travel permits, and entry documents for your destination(s). We may provide general guidance on visa requirements, but this does not constitute legal advice. We are not responsible for visa rejections or delays.

4.3 Health & Vaccinations

You are responsible for meeting all health and vaccination requirements for your destination(s). We recommend consulting with a healthcare professional or your local travel health clinic before departure.

5. Travel Insurance

We strongly recommend purchasing comprehensive travel insurance to cover:

  • Trip cancellation and interruption
  • Medical emergencies and evacuation
  • Lost, stolen, or delayed baggage
  • Flight delays and missed connections

Travel insurance is not included in our packages unless explicitly stated. We are not liable for any losses that could have been covered by travel insurance.

6. Cancellation & Refunds

All cancellations and refunds are governed by our Refund & Cancellation Policy listed below. By making a booking, you agree to the terms outlined in that policy.

7. Changes & Modifications

7.1 Changes by You

Date and itinerary changes are subject to availability and may incur a rebooking fee of USD $50 per person. Any price differences between the original and modified booking will be charged or refunded accordingly. Some changes may not be possible depending on supplier policies.

7.2 Changes by Us

We reserve the right to make minor changes to itineraries, accommodations, transportation, or schedules due to operational necessity, safety concerns, or supplier changes. Significant changes will be communicated to you as soon as reasonably possible. In the event of a significant change, you may be offered an alternative arrangement, a reschedule, or a refund in accordance with our Refund & Cancellation Policy.

8. Supplier Terms & Conditions

Many of our services are provided by third-party suppliers (airlines, hotels, tour operators, etc.). Your use of these services is also subject to the terms and conditions of the respective supplier. We act as an intermediary between you and the supplier. While we carefully select our partners, we are not liable for the acts, omissions, or negligence of any third-party supplier. In the event of a dispute with a supplier, we will make reasonable efforts to assist you but cannot guarantee a specific outcome.

9. Limitation of Liability

9.1 General Limitation

To the maximum extent permitted by applicable law, we are not liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of our services. Our total liability for any claim arising from or related to our services shall not exceed the total amount you paid for the specific booking in question.

9.2 Travel Risks

Travel inherently involves certain risks, including but not limited to transportation delays or cancellations, natural disasters and adverse weather conditions, political instability or civil unrest, health hazards and epidemics, crime, theft, or personal injury, and loss or damage to personal belongings. You acknowledge and accept these risks. We are not liable for any loss, injury, or damage resulting from events beyond our reasonable control.

9.3 Force Majeure

We are not liable for any failure or delay in performing our obligations under these terms caused by events beyond our reasonable control, including but not limited to natural disasters, pandemics, government actions, wars, terrorism, strikes, or transportation disruptions.

10. Your Responsibilities

By using our services, you agree to:

  • Provide accurate and truthful information during the booking process.
  • Comply with all applicable laws, regulations, and travel requirements of your destination(s).
  • Conduct yourself in a manner that does not endanger or inconvenience other travelers, staff, or local communities.
  • Arrive on time for all scheduled departures, tours, and activities.
  • Respect the customs, cultures, and laws of the countries you visit.

We reserve the right to terminate or refuse service to any traveler whose behavior is disruptive, dangerous, or in violation of these terms, without any obligation to provide a refund.

11. Intellectual Property

All content on this website, including but not limited to text, images, logos, graphics, videos, and software, is the property of YuanhangTrip or its licensors and is protected by applicable intellectual property laws. You may not copy, reproduce, distribute, modify, or create derivative works from any content on this website without our prior written consent.

12. Privacy

Your use of our website and services is also governed by our Privacy Policy, which describes how we collect, use, and protect your personal information. By using our services, you consent to the practices described in our Privacy Policy.

13. Governing Law & Dispute Resolution

These Terms of Service shall be governed by and construed in accordance with the laws of the Hong Kong Special Administrative Region. Any disputes arising from or relating to these terms or our services shall first be attempted to be resolved through good-faith negotiation. If a resolution cannot be reached, the dispute shall be submitted to the exclusive jurisdiction of the courts of Hong Kong.

Refund & Cancellation Policy

Overview

We understand that travel plans can change. This policy outlines the terms and conditions for cancellations, modifications, and refunds for bookings made through our website.

Cancellation & Refund Schedule

All cancellation requests must be submitted in writing via email. Refund eligibility depends on how far in advance you cancel before the scheduled departure date:

Custom or group itineraries may have different cancellation terms, which will be clearly stated at the time of booking.

Non-Refundable Items

The following are non-refundable under any circumstances:

  • Booking fees and service charges
  • Visa application fees and processing costs
  • Travel insurance premiums
  • Promotional or discounted packages explicitly marked as “non-refundable”
  • Third-party supplier fees already incurred on your behalf (e.g., airline tickets, hotel deposits, attraction tickets)

Refund Processing

If your cancellation is eligible for a refund:

  • Refunds will be processed within 14 business days of receiving your written cancellation request.
  • Refunds will be issued to the original payment method used at the time of booking.
  • You will receive an email confirmation once the refund has been processed.

Not seeing your refund?

If 14 business days have passed and you haven’t received your refund:

  1. Check your bank or credit card statement again.
  2. Contact your bank — processing times may vary.
  3. Contact us at voyagetravel520@gmail.com and we’ll look into it immediately.

Date & Itinerary Changes

  • Date changes may be accommodated subject to availability, and a rebooking fee of USD $50 per person may apply.
  • Itinerary modifications after booking confirmation may incur additional charges depending on supplier policies.
  • We will do our best to accommodate changes but cannot guarantee availability for alternative dates or destinations.

Cancellations by Us

In rare cases, we may need to cancel a tour or service due to insufficient enrollment, safety concerns, or circumstances beyond our control. If this happens:

  • You will be offered a full refund, or
  • The option to reschedule at no additional cost, or
  • An alternative tour/package of equal or greater value.

Force Majeure

We are not liable for cancellations, delays, or changes caused by events beyond our reasonable control, including but not limited to:

  • Natural disasters, earthquakes, typhoons, floods
  • Epidemics or pandemics
  • Government travel restrictions or advisories
  • Wars, terrorism, civil unrest
  • Strikes or transportation disruptions

In such cases, we will work with you to reschedule or provide a partial refund based on recoverable costs from third-party suppliers.

Travel Insurance

We strongly recommend purchasing comprehensive travel insurance to protect against unexpected cancellations, medical emergencies, trip interruptions, and lost baggage. Travel insurance is not included in our packages unless explicitly stated.

Gifts & Third-Party Bookings

  • If a booking was purchased as a gift for another traveler, the refund (if eligible) will be issued to the original purchaser.
  • For group bookings, the lead booker is responsible for all cancellation and refund arrangements on behalf of the group.

How to Request a Cancellation or Refund

To initiate a cancellation or modification, please contact us with the following information:

  • Booking reference number
  • Full name of the lead traveler
  • Reason for cancellation
  • Preferred resolution (refund / reschedule / credit)
